Corporate Event AV Toronto

Town halls, product launches, sales kickoffs, holiday parties, multi-day conferences — InnovatAV is the AV partner Toronto companies bring in when the event has to reflect the brand. We design the setup, bring the gear and crew, and run the show live.

Corporate events we produce

  • Town halls & all-hands — clear audio, camera and streaming for remote teams, and Q&A that works.
  • Product launches — LED walls, reveal cues, and lighting that makes the product the hero.
  • Conferences & summits — full conference AV: breakout rooms, recording, interpretation.
  • Holiday parties & celebrations — sound and lighting that turns a venue into a party without turning it into chaos.

One partner, the whole show

One point of contact from walkthrough to load-out, quotes your finance team can read, and backup built into every design. Need the full production treatment? See our event production services.

Corporate event AV — common questions

Can you work alongside the hotel’s in-house AV team?

Yes. The in-house team usually owns power, rigging points and house sound; we bring the production and run the show. Tell us the venue at quote stage and the split of responsibilities is agreed in writing before load-in, along with any patch or facility fee the hotel charges.

Who from your team is actually on site during the event?

The person who scoped your event stays on it — one point of contact from walkthrough to load-out. A crew sized to the build loads in, and a technician stays in the room for the whole show. Crew hours appear as their own line on the quote, so you can see who is there and when.

How much of the day do you need before guests arrive?

It depends on the build and, more often, on what the venue allows — some rooms release at six in the morning, some the night before. A simple town hall goes up quickly; a launch with LED and rigging needs the room the day before. The load-in window is confirmed with the venue before the quote.

Our presenters all bring their own laptops. How does that not become a mess?

Everything runs through a switcher at the console with a tested connection for each presenter, so changing decks is a button press instead of a cable swap on stage. Bring the laptops to the tech check and each one is confirmed on the screen before the room fills.

Can remote employees join a town hall properly, not just watch a wide shot?

A camera on the speaker, program audio taken from the sound system rather than a room mic, and slides fed to the stream so remote staff read them as clearly as the people in the room. Questions from remote attendees come back through the room audio so everyone hears them.

Can our branding be on the screens?

Holding slides, lower thirds, sponsor loops and branded LED content are all part of the build. Supply your files and we format them to the actual pixel dimensions of the screen rather than stretching them to fit on the day. A few days’ notice is enough for most of it.

We have breakout rooms as well as a main room. Is that one quote or several?

One quote and one crew plan. Breakouts usually take a simpler kit — a screen, a microphone, a technician moving between rooms — while the main room carries the full build. The schedule matters more than the count: rooms running at the same time need their own tech, staggered ones can share.
