An AGM has no second take.
Every motion, vote, and question has to be heard, seen, and often recorded. InnovatAV runs the technical side of annual general meetings and member assemblies across Toronto and Ontario, in person, remote, or hybrid.
What we handle at an AGM
- Microphones that keep order — podium, panel, and floor mics for member questions, managed by a live operator.
- Projection & screens — agendas, financials, and motions readable from every seat.
- Recording & minutes support — clean audio capture of the full proceedings.
- Live streaming & hybrid — remote members see, hear, and participate through our conference AV systems.
- Simultaneous interpretation — UN-style booths and wireless headsets for multilingual memberships.
Reliability is the whole job
We build redundancy into every AGM — backup audio paths, spare microphones, and a technician in the room from doors to adjournment. Your chair runs the meeting; we make sure the room keeps up.

AGM AV — common questions
What happens if a microphone or the stream fails during the meeting?
Every AGM is built with a spare path: backup microphones staged and ready, a second audio route to the recorder and the stream, and a technician in the room from doors to adjournment. If something drops, the swap happens in seconds rather than becoming an agenda item.
Can remote members hear the discussion and take part in the vote?
Hybrid AGMs run a managed stream with two-way audio, so remote members hear the floor and can be brought in to speak. Voting and polling normally run through your own meeting or governance platform — tell us which one you use and the audio and video feeds are built to match it.
How do members ask questions without the room turning into a shouting match?
Floor microphones on stands or roving handhelds, both controlled by an operator at the console. The chair recognizes a member, that microphone opens, and the rest stay closed. It keeps the recording clean, keeps the stream listenable, and stops two people talking over each other.
How do you mic a board table where every seat needs to be heard?
A gooseneck per seat where the by-laws require the speaker identified on the record, or one microphone shared between two seats where they do not. All of them run through a mixer with an operator, so open microphones never build into the hum that swallows a discussion.
What do you need from us before the meeting?
The agenda and running order, the room and its seating layout, how many people are expected in the room versus online, and whether the proceedings are recorded or interpreted. That is enough to design the build. Motion wording and speaker names can arrive the week of.
